Who we are

RingBooked is a trading name of RingBooked Ltd, a company registered in England and Wales. Our registered office is in Newcastle upon Tyne, North East England. We provide a 24/7 phone answering and booking service for trade businesses.

What data we collect

From website visitors:
  • Browser type and device information (analytics only, if consented)
  • Pages visited and time spent (analytics only, if consented)
  • IP address (anonymised)

From demo requests and enquiries:
  • Name and business name
  • Email address and phone number
  • Trade type and service area

From client accounts:
  • Business contact details and billing information
  • Call logs and booking records (held on behalf of clients)
  • Customer information passed through the booking system

How we use your data

We use the information we collect to:
  • Provide and operate the RingBooked service
  • Process bookings made through the platform
  • Send service notifications and account updates
  • Respond to enquiries and provide support
  • Improve the service based on how it is used (analytics, if consented)
  • Meet our legal and regulatory obligations

We do not sell your data to any third party. We do not use your data for advertising purposes unless you have explicitly consented to marketing cookies.

Legal basis for processing

Under UK GDPR, we process your personal data under the following lawful bases:
  • Contract — to deliver the service you have signed up for
  • Legitimate interests — to operate and improve the business, where this does not override your rights
  • Consent — for analytics and marketing cookies, which you can withdraw at any time

Who we share data with

We use a small number of trusted third-party services to operate the platform. These include:
  • Cloud infrastructure and database providers
  • Telephony and SMS delivery providers
  • Calendar and scheduling systems (for clients who connect them)
  • Job management software (for clients using ServiceM8 integration)
  • Analytics providers (only if you have consented)

All third-party processors are bound by data processing agreements and operate in compliance with UK GDPR. We do not transfer data outside the UK or EEA without appropriate safeguards in place.

How long we keep your data

  • Active client data is retained for the duration of the service contract
  • Booking and call records are retained for 12 months after the relevant job, then deleted
  • Enquiry and demo request data is retained for 6 months if no contract follows
  • Billing records are retained for 7 years as required by UK law

Your rights

Under UK GDPR, you have the right to:
  • Access the personal data we hold about you
  • Ask us to correct inaccurate data
  • Ask us to delete your data in certain circumstances
  • Restrict or object to how we process your data
  • Receive your data in a portable format
  • Withdraw consent at any time (where consent is the basis for processing)
